Privacy Policy

This Privacy Policy explains how CostTalk ("we", "us", the "App") collects, uses, stores, and protects your information when you use the CostTalk applications on Android, Windows, and the web. By creating an account and using CostTalk, you agree to the practices described below.

1. Who We Are

CostTalk is a team-based project ledger, expense manager, and attendance tracker operated by Awais K Niazi. The App is available on Android, on the Microsoft Store (Windows), and on the web at costtalk.web.app.

2. Information We Collect

Account information

Your email address and a username, provided when you register or sign in.
If you sign in with Google, your Google account email and basic profile identifier.

Content you create

Projects (groups), members you invite and their roles, expenses and income entries, quantities, suppliers, notes, dates, and any receipt images you attach.
Attendance records, employee and supplier database entries you add, salaries and working hours you configure, and saved in-app contacts (stored by user identifier, with a display name you choose).

Technical and usage data

Basic device and diagnostic information needed to operate the service and keep it reliable.
A push-notification token, on platforms that support notifications, so we can deliver project alerts.
On the free Android version only, our advertising partner may collect an advertising identifier and related data to show ads (see Section 6). The Windows and web versions do not show ads.

3. How We Use Your Information

To provide the App's core features and sync your data across your devices.
To enable team collaboration — sharing project data with the members you add.
To send notifications about your projects (for example, when you are added to a project).
To process optional premium subscriptions and remove ads.
To maintain security, prevent abuse, and improve reliability.

4. How Your Data Is Shared With Your Team

CostTalk is collaborative. When you add someone to a project or attendance group, the data in that project or group (entries, receipts, attendance, and the name/role of members) becomes visible to the other members according to their assigned role (view, chat, or admin). Only share projects with people you trust.

5. Where Your Data Is Stored

Your data is stored and processed using Google Firebase (Authentication, Cloud Firestore, Cloud Storage, Cloud Functions, and Cloud Messaging). Data may be stored on servers located outside your country. Google processes this data on our behalf under its own security and privacy commitments.

6. Third-Party Services

Google Firebase / Google Cloud — account authentication, database, storage, cloud functions, and notifications. See Google's Privacy Policy: policies.google.com/privacy.
Google AdMob (free Android version only) — displays ads and may use an advertising identifier. See Google's advertising policies. Not used on Windows or web.
Google Play Billing — processes optional premium subscriptions on Android. We do not receive or store your payment card details.

If you import employee, supplier, or client data using a Google Sheets or CSV link that you provide, that data is fetched from the source you specify and stored with your account.

7. Data Retention and Deletion

We keep your data for as long as your account is active. You can permanently delete your account and its associated profile data at any time from Settings → Delete Account inside the App. Note that content you contributed to shared projects may remain visible to other members of those projects.

To request deletion of data you cannot remove yourself, contact us using the details in Section 12.

8. Security

We use industry-standard measures provided by Google Firebase, including encrypted transport (HTTPS/TLS) and server-side access rules, to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Children's Privacy

CostTalk is intended for business and personal financial management and is not directed at children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect data from children.

10. Your Rights

Depending on your location, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can exercise many of these directly in the App, or by contacting us.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page. Continued use of the App after changes take effect constitutes acceptance of the updated policy.
